Policy.
Last updated
This policy explains what personal information ConfWise collects, why, who we share it with and how long we keep it. It covers confwise.com and the ConfWise web app at app.confwise.com. ConfWise does not currently offer native mobile apps; if and when we release them, we will update this policy first.
Who we are
ConfWise is provided by HuntHQ LLC (doing business as ConfWise), 709 Balmoral Road, Winter Park, FL 32789, USA. In this policy “ConfWise”, “we” and “us” mean HuntHQ LLC. You can reach us about anything in this policy at support@confwise.com.
Event organisers use ConfWise to build and publish an app for their event. When an organiser uploads or enters information about their attendees, speakers, exhibitors or sponsors, the organiser decides what is collected and why, and we process it on their behalf to provide the service. For organiser accounts and for our own website, HuntHQ LLC is the controller and decides how the information is used.
What we collect
Event organisers
- Account details: your email address, first and last name, and an optional profile photo. Your password is handled by Firebase Authentication; we never see it in plain text.
- Event content: everything you add to an event, including sessions, speakers, sponsors, exhibitors, venue maps, logos, cover images and the announcements you post for attendees.
- Speaker details: speaker names, biographies and photos, and optionally an email address. If an organiser adds a speaker's email address, it is shown with the speaker's public profile in the event app.
- Attendee lists: if you import or enter attendees, the fields you provide, which can include name, email, company, job title, phone number, ticket type, LinkedIn URL, dietary requirements and check-in status.
- Files for Magic Import: agenda documents, exhibitor lists, attendee lists and venue maps you upload so our AI provider can turn them into event data (see “AI processing” below).
- Payments: payments go through Stripe Checkout. Stripe collects your card and billing details; we never receive your card number. We store the plan you bought and the payment status against your event.
- Support requests: the subject, message and event you send through Contact Support, and your email address so we can reply.
Attendees
- Browsing an event: when you open an event in the web app, Firebase Authentication signs you in anonymously so the app can work. This gives your browser a random identifier; it contains no name or email.
- If you create an account: your email address, name and optional profile photo. If the organiser has already listed you as an attendee with the same, verified email address, we link your account to that attendee record.
- Your attendee record: the information the organiser provided about you (see “Attendee lists” above).
- Messages: if you message other users in the app, we store the messages, who they are between, when they were sent and whether they have been read.
Push notifications, saved personal schedules, invite-only events and exhibitor lead retrieval are not currently available. If and when we enable them, we will update this policy first to describe what they collect.
Everyone
- Usage analytics: pages and screens viewed, sign-ups, logins and purchase steps, collected through Google Analytics. In the app, analytics is tied to your account's internal user ID. See our Cookie Policy.
- Server logs: our servers log requests for operations and security. These logs can include your user ID, your email address (for example when we link your account to an attendee record or send a password reset) and the names of files you upload for import.
How we use it
- To run the service: host your event, show it to attendees, deliver messages and announcements, and process payments.
- To send transactional email such as email verification, password resets and support replies.
- To understand how the product is used and improve it.
- To keep the service secure and prevent abuse.
We do not sell personal information. We do not use the attendee information organisers upload for our own marketing, and we do not run behavioural advertising.
AI processing
When you use Magic Import, the file you upload is sent to our server and passed to Anthropic's API, which runs Anthropic's Claude models to extract sessions, speakers, exhibitors, attendees or map rooms. The extracted data comes back to you to review and edit before you save it.
We do not save the uploaded file to our storage. It is held only in memory while the request is processed, except a venue map image you choose to save, which is stored as event content. Anthropic processes the file as our data processor under its Commercial Terms of Service and Data Processing Addendum. Anthropic does not use this data to train its models, and it deletes API inputs and outputs within 30 days unless a longer period is needed to enforce its usage policies or is required by law. Only upload files you have the right to share (see our Terms of Service).
AI output can contain mistakes. Organisers are responsible for checking imported data before publishing it.
Who we share it with
We use the following service providers to run ConfWise. They process personal information on our behalf.
| Provider | What for | Data involved |
|---|---|---|
| Google (Firebase / Google Cloud) | Sign-in (Firebase Authentication), database (Cloud Firestore), file storage (Cloud Storage), server code and its logs (Cloud Functions) and app analytics (Google Analytics for Firebase). | All account, event, attendee, messaging and usage data held in the service. |
| Anthropic | AI extraction for Magic Import: turns uploaded agendas, exhibitor lists, attendee lists and venue maps into structured event data. | The contents of the file you upload for import, which may include speaker, exhibitor or attendee personal information. |
| Stripe | Payment processing through Stripe Checkout. | Payment card and billing details you enter on Stripe's checkout page (ConfWise never receives card numbers), plus the event and plan being purchased. |
| Postmark | Transactional email: email verification, password resets and support-request notifications. | Recipient email address and the content of those emails. |
| Google Workspace (Gmail) | The mailbox we send business outreach from and read replies in. It is on a separate domain from confwise.com and is never used for account or transactional email. | Business contact details of people we write to (name, role, organisation, work email), the messages we send and any reply you send us. |
| Cloudflare | Hosting and content delivery for confwise.com and the ConfWise web app (app.confwise.com). | Standard web request data (such as IP address, browser user agent and the pages requested). |
Published events are public: anyone with the link can see the event's agenda, speakers (including any speaker email address the organiser adds), sponsors and exhibitors. Attendee records can be seen only by the event's organiser and by the attendee themselves.
We may also disclose information if the law requires it, or to a successor if the business is sold or reorganised.
How long we keep it
- Accounts and events are kept until they are deleted. There is currently no automatic expiry.
- Deleting an event in the organiser dashboard permanently removes the event and everything stored under it in our database: sessions, speakers, sponsors, exhibitors, attendee records and announcements. Images uploaded for the event (logos, covers, speaker and sponsor photos, maps) and in-app messages are not removed automatically when an event is deleted. We delete them on request.
- Magic Import files are not stored by us, except a venue map image you choose to save, which is stored as event content (see “AI processing”).
- Accounts are deleted on request (see below). There is no self-service account deletion yet.
- Support requests are kept so we can follow up on them. We delete them on request.
- Server logs, analytics and payment records are kept according to the retention settings of Google Cloud, Google Analytics and Stripe. Stripe keeps payment records as the law requires.
Your choices and rights
You can ask us for a copy of your personal information, or ask us to correct or delete it. Email support@confwise.com from the address registered to your account, or tell us which event you attended. Depending on where you live, you may have other rights under local law, such as the right to object to or restrict processing. We will not treat you differently for using them.
Attendees: the organiser of your event controls the information they uploaded about you. You can contact them directly. If you contact us instead, we will pass your request to the organiser and help them handle it.
Organisers: you can edit or delete your events and attendee records yourself in the dashboard. For anything you cannot do there, email us.
Security
Data is encrypted in transit using HTTPS. It is stored with Google Cloud, which encrypts data at rest. Access to data inside the service is controlled by Firebase security rules that limit who can read and write each record. No system is perfectly secure. Our Security overview describes what we do.
International processing
ConfWise is based in the United States. Our service providers may process information in the United States and other countries. If you use ConfWise from outside the United States, your information will be transferred to and processed there.
Business contacts
If we contact you about ConfWise for business reasons, we may have found your work contact details on public websites, such as your organisation's event pages, and used AI tools (Anthropic and Google Gemini) to research your organisation and draft our message. To stop hearing from us, reply to the message or email support@confwise.com.
Children
ConfWise is not directed at children under 16 and we do not knowingly collect their personal information. If you believe a child has given us personal information, contact us and we will delete it.
Changes and contact
We will update the date at the top of this page when we change this policy, and we will tell organisers by email about material changes. Questions or requests: support@confwise.com, or write to HuntHQ LLC (doing business as ConfWise), 709 Balmoral Road, Winter Park, FL 32789, USA.
